Before the room opens: download and unzip this kit. Open the presentation PDF locally, the workshop website, and a clean ChatGPT tab. Close unrelated work on the projected screen. Check projector zoom, Wi-Fi and power. Rehearse a fictional scheduled task and its first run privately. Do not project real inbox results or personalized ChatGPT home suggestions. Check plan/workspace availability; do not promise every attendee will have the same controls. Have the printed participant packet ready. 0–5 MINUTES / OPENING SAY: Today we will build a useful daily brief, set the time it runs, and check how the update reaches you. The website is the map; ChatGPT does the work. I will project fictional Clear Road Labs emails. Your task uses your own real inbox privately; my fictional projection only demonstrates the steps. If you are stuck for one minute, watch and rejoin at my step. I will keep moving so we all reach scheduling. STEP 1 / Open ChatGPT & connect / 5–15 min SHOW: chatgpt.com → Work → left-rail Plugins icon → Customize → Plugins SAY: You are building this with your own real inbox. Connect the account you want briefed every morning. My projected example uses fictional emails so client messages stay private; your finished task will read your connected account. DO: 1. Open chatgpt.com and sign in. Select Work at the top; look for Work with ChatGPT in the message box. Click the loop-shaped Plugins icon in the far-left rail. The Customize sidebar opens; choose Plugins there. Keep this guide in a second tab. 2. Search Gmail, then choose Gmail by OpenAI. For Microsoft mail, search Outlook Email by OpenAI. Open its details. 3. Choose Install or Connect if offered. If already installed, use Manage to inspect the connected account; Try in chat opens a conversation. 4. In the provider window, check the account address and read the requested permissions before you approve. Only connect an account your business permits. Return to ChatGPT. CHECK: You can identify the connected account. A plugin being installed alone does not prove inbox access. IF BLOCKED: No Work toggle or Plugins entry? Confirm your signed-in account and workspace. If unavailable, watch the presenter and save the prompt; your setup is pending. Do not spend more than a minute troubleshooting during the session. STEP 2 / Prove it can read the right inbox / 15–20 min SHOW: Work conversation → select Gmail in Plugins → verify one known email SAY: You may see a permission request here. Check whose account it is and what ChatGPT wants to do. If you already connected, you may not see it. Then compare one returned message with your actual inbox. Keep your emails off the projector. DO: 1. In ChatGPT, select Work and your email plugin. On clearroadlabs.com/prompts, open Step 2 and copy Verify one known message. Replace the account, subject, sender and date before sending in your Work chat. 2. If a consent or tool-approval screen appears, check the account and requested read action. Continue only when correct. Already authorized? You may go directly to the result. 3. Privately compare the returned sender, subject, date and source with your inbox. If you cannot recall an exact subject, use the three-recent-emails alternative, then independently check one. 4. Wrong account or unavailable source? Correct the connection before continuing. Never treat the fictional projection as verification of your own inbox. CHECK: The returned email matches a message you independently recognize, from the intended account. IF BLOCKED: If the known email cannot be verified, watch the demo and record the blocker. Resume here later; a fictional result does not verify your mailbox. STEP 3 / Make one brief worth receiving / 20–30 min SHOW: Clear Road Labs website → Step 3 → Copy prompt → same ChatGPT Work chat SAY: Switch to the Clear Road Labs website now. Open Step 3, choose Full brief or Short starter, and copy that prompt. Return to the SAME Work chat, replace the setup fields and send. Check two facts against their sources. Save the instructions you actually tested; we will schedule those next. DO: 1. Switch to clearroadlabs.com/prompts#step-3. Keep Your inbox selected. Choose Full brief, or Short starter if you want a simpler first result. Click Copy prompt. 2. Switch back to the same ChatGPT Work chat. Paste, replace BUSINESS, email tool, ACCOUNT EMAIL and TIME ZONE. For Full brief, also edit or remove the priorities line. Then send. 3. Expect a dated brief with up to three priorities, source links or IDs, and a reply draft when needed. Open two source messages privately: check the newest update and actual deadlines. 4. Save the complete edited instructions that produced your good result. Step 4 must use that exact version, including any corrections. The website does not automatically receive your ChatGPT edits. CHECK: You have a dated brief, traceable priorities, visible unknowns and a useful draft—and a saved copy of the instructions that produced it. IF BLOCKED: No relevant mail today is a valid result if access and the searched window are verified. If access fails, save your edited prompt and finish later; do not schedule an unverified inbox. STEP 4 / Schedule your tested brief / 30–40 min SHOW: Website Step 4 → paste tested instructions → copy request → same Work chat SAY: We are scheduling the instructions, not today's answer. Paste your TESTED prompt into Step 4 on the website, then copy the scheduling request back to this Work chat. Choose your daily time before sending. Open the saved card and check what, when, where and active status. I already have a demo job, so I will inspect it rather than create another. DO: 1. Save your complete edited Step 3 instructions. On the website, go to Step 4 and paste those instructions into the box. Choose no new inbox or prompt version here. 2. Copy Schedule my tested brief. Return to the SAME Work chat and paste. Before sending, change the task name, 8:00 AM time and America/Chicago zone if needed. Send once. 3. Wait for a saved task card. Open it and verify the instructions contain your exact account. Check Daily, time, Advanced → Time zone and Same chat for every run. 4. Find that task under Scheduled → Active. Check the next run and that Pause is available. If any time disagrees, reopen Edit and resolve it. Keep only one intended daily job. CHECK: A saved active task appears in Scheduled with the intended daily time and time zone. A copied prompt or screenshot does not count. IF BLOCKED: If Scheduled is unavailable for your plan/workspace, watch the demonstration and save the full prompt. Mark your status “not scheduled”; use the manual brief until access is available. STEP 5 / Choose how you hear about it / 40–45 min SHOW: Profile menu → Settings → Notifications → Tasks SAY: This step chooses how you hear about the job; it does not create another schedule. Open Settings, Notifications, Tasks and choose Email or Push. The email comes to your ChatGPT account's destination, which may differ from the inbox being summarized. We still need to see a delivered update. DO: 1. Open your profile menu, Settings, Notifications. Find Tasks and open its channel menu. Choose Push, Email, or both if available. 2. For app notifications, sign into the same ChatGPT account on your phone and allow ChatGPT notifications in the phone’s system settings. 3. Task emails can include generated content plus a View message link. Check the first delivered email to see how much is included; do not assume every account or long brief has the same format. 4. The connected inbox supplies the source messages; notification delivery belongs to your ChatGPT account. Check the actual destination on the first notification. CHECK: The intended task notification channels are selected. Delivery is still unverified until a real task update arrives and opens the right result. IF BLOCKED: No push? Check the same account, OS permission and Focus/Do Not Disturb. No email? Check Tasks → Email and spam. You can always open Scheduled to inspect the run. STEP 6 / Test it, then leave it running / 45–50 min SHOW: Scheduled → task’s ••• menu → Run now → inspect Work result SAY: Find the job you just saved under Scheduled. The three dots belong to that job. Run now executes its saved instructions once; it does not create another daily job. Then inspect Edit: same instructions, Daily, time, zone and active status. Delivery is verified only after an actual update arrives. DO: 1. In Scheduled, find your saved Work task. Open its ••• menu and choose Run now. Wait for the final response, then confirm your exact account and time window, then open two real source messages to verify the facts. Presenter-only demos should retain their fictional label. 2. Confirm the task is still active and the next daily time is correct. Do not make a second schedule just because the first run is taking time. 3. Check your selected app/email notification and open it. A manual test may not exercise every delivery path: check again after the first timed run before calling delivery verified. 4. For a practice-only job, pause it or set an end date after the workshop. For a real brief, review the first few mornings and refine its saved instructions. CHECK: Record four results: real inbox verified; schedule saved; run completed against that inbox; notification received. If any is missing, write exactly what remains unverified. IF BLOCKED: If the final response cannot load, confirm that the task was created from a Work chat. Pause a failing duplicate before replacing it. At 50 minutes, stop individual troubleshooting; save the remaining issue and use the prepared example. 50–55 MINUTES / NEXT PROJECTS + TIMEBACK SAY: Choose one of the seven projects on slide 15. Then use Timeback on slide 16 to explore tasks for your own role. Search your role, review the task ideas and estimates, and choose one workflow to test. Use the estimates as a starting point and measure the result in your own work. DO: Let people choose one project, then show the Timeback URL and QR. Keep this to five minutes; the contact QR on slide 17 stays visible for questions. 55–60 MINUTES / CLOSE Ask attendees to record: exact inbox account, known message verified yes/no, daily time, time zone, task link, schedule saved yes/no, real inbox run completed yes/no, notification received yes/no. If anything is unverified, write the next action. Pause or end fictional practice jobs. Keep real jobs active and review the first few mornings. Never describe a blocked or unsaved job as automated. PACING: At minute 30 move to scheduling. Shorten voice discussion or draft revisions if behind. Protect minutes 30–50 for schedule, delivery and verification. Do not spend the closing buffer troubleshooting one device. DELIVERY TRUTH: A Tasks email is an update notification; emails can include generated content and a View message link. Verify the actual message for your account; long outputs may differ. The full brief is available in ChatGPT. A connected inbox does not choose the notification destination. FINAL CONTACT SLIDE / LEAVE VISIBLE DURING QUESTIONS SAY: Scan this code to email me, connect on LinkedIn, or book time with me. If you get stuck finishing your briefing, send me the step and what happened. You can also type clearroadlabs.com/connect. DO: Leave the QR slide up for at least 30 seconds and throughout the final questions. SLIDE MAP: 1 opening; 2 outcome; 3 Work and Customize; 4 inbox connection; 5 Step 2 consent and verify; 6 inbox verification PROMPT; 7 Step 3 website handoff; 8 daily brief PROMPT; 9 Step 4 schedule handoff; 10 scheduling PROMPT; 11 saved-job inspection; 12 notifications; 13 Run now; 14 evidence; 15 seven take-home projects; 16 Timeback; 17 contact QR. Slide numbers differ from the six workshop step numbers. PRESENTING THE PROMPTS: Leave slide 6 visible while attendees verify one message. On slide 8, say: This is the exact Short starter prompt we will use. Replace the highlighted fields, run it, and check two sources. The longer Full brief remains an optional website version. On slide 10, explain: paste the complete tested instructions after SAVED TASK INSTRUCTIONS; never paste the generated brief. Slide 15 offers seven projects participants can build independently. Ask them to choose one; do not start seven exercises in the room. These prompt slides use the existing activity time, not extra exercises. SLIDE 15 / CHOOSE YOUR NEXT PROJECT SAY: You do not have to build all seven. Pick the one that would help you next week. Connect only the tools it needs, test once, and check the sources. Start with a summary or draft you review. Schedule it only after the result is useful. 1. Meeting prep — Email + Calendar: Tomorrow's meetings, relevant context and prep questions. 2. Follow-up finder — Email: Find unanswered client threads and draft the next reply. 3. Weekly owner review — Calendar + Drive: Compare your week with your priorities; choose next actions. 4. Customer FAQ — Email + Drive: Turn recurring customer questions into an FAQ draft. 5. Proposal first draft — Drive: Turn an approved scope into a proposal for your review. 6. Content planner — Drive: Turn your own notes into a week of social post drafts. 7. Receipt organizer — Email + Sheets: List vendor, date and amount; flag missing details. SLIDES 3–4 / SHOW EVERY CLICK SAY: Open chatgpt.com. At the top, click Work. Your message box should say Work with ChatGPT. Now click the loop-shaped Plugins icon in the far-left rail. This opens the Customize sidebar. Choose Plugins there, search Gmail and check that the publisher is OpenAI. Microsoft users search Outlook Email. On the next slide, connect your own account; if installed, Manage lets you inspect it. We will verify one real email next. CHECK: Ask attendees to point to Work, then Customize on their own screen. If either is missing, let them watch and save their place; keep moving. SLIDE 16 / TIMEBACK / 53–55 MINUTES SAY: If you are wondering what to build next for your own role, visit timeback.clearroadlabs.com. Search your job title or browse the occupations. Review the task ideas, time estimates and suggested AI workflows. Pick one small workflow and measure what it saves you. The QR on this slide opens Timeback; the final slide has my contact QR. DO: Leave this slide up long enough to scan. Attendees bookmark the site or search their role; do not start another full exercise.
